Why keep a Single Staff Register?

The law requires every employer to keep a Single Staff Register (RUP).

It must list all people working in the company (employees, interns, temporary workers, etc.) and be kept for 5 years after their departure.

What information must be provided to keep the RUP up to date?

1. Personal information

From the employee profile > Overview:

  • First name, preferred name, and birth name

  • Gender, nationality, date of birth

Special cases:

  • Foreign employee: hiring authorization date, type/number of document, request date if pending

2. Contractual information

From the employee profile > Contract > Actions > Declare a change:

  • Contract type, job, qualification, start date

  • Intern: identity of the supervisor

  • Dismissed staff representative: dismissal authorization date

3. Check for missing information

From HR > Incomplete records:

  • Filter profiles with missing RUP data

  • Complete directly from each employee profile


How to download the Single Staff Register?

From Team:

  • Click on Single Staff Register

  • Select one establishment or all establishments

  • Click Download: a PDF file is automatically generated
