How to lock or unlock my payroll period ?

Your payroll is done for the month ? Lock them to avoid any modifications afterward!

Locking your pay period allows you to prevent any modification to the schedule and contracts of your employees concerned by this period. Convenient, right ?

Locking one or many payroll periods

Head to Reports > Choose whether you want to lock one payroll period or more at once 🚀 :

  • Click on 'Selected periods' to add all the periods, or select the desired periods by selecting them on the left.

  • Click on 'Lock all'

  • Click on 'Lock payroll period' to validate

Good to know : Locking all the pay periods applies to all the periods on the selected page. If you have more than one page, you will have to repeat the action for each page !


What's the impact of a locked payroll period ?


When a period is locked, it stops any modification of :

  • The schedule : the days included in the locked pay period are displayed in yellow with a padlock. Locked weeks can still be viewed but can't be modified:

  • Your employee's contracts : if a locked pay period is in between the start and end date of your employee's contract, then the weekly contracted hours and the beginning of the contract date are locked and can't be edited. You would like to amend some of the information ? Unlock all the pay periods since their contact start date.

Good to know :

  • Only admins and directors can lock and unlock a pay period.

  • When creating a pay period, it will automatically lock 14 days after the end date.

  • If you unlock a pay period, it will automatically lock again within 24 hours.

  • If you want to edit your pay period dates, you will have to delete them and recreate them with the desired dates.


Unlocking one or more pay periods

If locking your pay periods now makes sense, then you won't struggle with unlocking them ! It works the same !
