Payroll report: Absences

It's not always easy to understand the payroll report. To help you, we'll explain everything here.

Now that you know more about the "Worked hours" tab here, let's go to the "Absences" tab.

In this tab, you can find all the time off planned on the schedule and their count down. You have paid absences, unpaid absences and compensated absences.

Good to know : If the default duration of the time off doesn't suit you, you can change it. This is explained in this article 👈


Paid time off

  • Public Holidays (in hours)

This column counts the absences "Public Holiday" planned on the schedule.

By default, one Public Holiday is equal to the duration of the contrat/number of working days in the week. For a 35h contrat who works 5 days, the absence will be equal to 7h.

  • Paid vacations (in days)

This columns counts the paid leaves planned on the schedule. The calculation depends on your settings : if you counts in business days (5 days for one week) or in working days (6 days for one week) of paid leaves. Find out more here 👈

Good to know: for the calculation of normal or missing hours in the payroll, we'll divide the contract by 5 day if you are in business days or 6 if you are in working days.

  • WTR - Reduction of working time (in days)

This column counts days of absences due to a reduction of working time planned on the schedule.

By default, WTR is equal to the duration of the weekly contract/number of working days per week.

Good to know : This absence is only available for daily contracts.

  • CTO - Compensatory Time Offs (in hours)

This column counts the CTO absences planned on the schedule.

You can choose the duration of the absence when you plan it on the schedule.

Good to know : This absence is only available for full-time contracts, we tell you more about it right here.

  • Others

This column counts the following absences on the schedule:

  • Family event: birth, wedding, civil partnership, death

  • CTO to be paid

  • Compensatory Time Offs for night

  • Compensatory Time Offs for dressing

  • Training

  • Medical exam

By default, one day is equal to the duration of the weekly contract / number of working days by week.

Good to know : in the export, the reasons for absences will appear in separate columns.


Unpaid time off

  • Entry / exit time (in hours)

This column concerns employees whose contract starts or ends during the payroll period.

We calculate the amount of hours that the employee should have done if he had been here during all the payroll period; then we deduce the amount of hours really done. The difference gives the value of the entry / exit.

  • Lateness (in hours)

When an employee is late, you can mark the box "Late with salary deduction" by validating their shift. Lateness indicated are accumulated and reported here.

  • Justified and unjustified absences (in hours)

These columns counts the justified and unjustified absences planned on the schedule. These absences are deduced from the salary.

The motive "Justified absence" enables the manager to know that the employee had warned him/her and given a justification to his/her absence.

  • Unpaid leave (in hours)

This column counts unpaid leaves planned on the schedule.

By default, one day of unpaid leave is equal to the duration of the weekly contract/number of working days by week (no matter weathre you count 5 or 6 days per week).

Good to know : unpaid leave is scheduled day by day but will be counted in hours on the report.

  • Dismissal (in hours)

This column counts absences due to "Disciplinary termination" and "Precautionary termination".

By default, one day of suspension is equal to the duration of the contract/number of working days by week.


Compensated absences

  • Sick leave (in hours)

This column counts hours of absence for a sick leave scheduled.

By default, one day of sick leave is equal to the duration of the weekly contract/number of working days by week.

Good to know : the sick leave is scheduled in days on the schedule but counted in hours in the report. To know more about the sick leave, go here 👈

  • Others (in hours)

This last column counts the following absences planned on the schedule.

  • Maternity leave

  • Paternity leave

  • Parental leave

  • Partial unemployment

  • Work accident

  • Professional illness

Good to know :

  • In the payroll export, the reasons of absences will appear in separate columns.

  • Only the absence "Work accident" is planned in days on the schedule but counted in hours on the report.
