How do you assign primary and secondary labels to an employee?

Prerequisites:

  • Have Owner, Admin, Director, or Manager access with employee profile editing rights.

  • The Predictive Scheduling module must be activated for labels to influence automatic assignments.

How does the label system work?

A label represents a role, task, position, or skill within the team (e.g.: Kitchen, Floor, Bar, Checkout).

Two priority levels exist:

  • Primary label: the employee's usual role. The engine assigns them first to shifts carrying this label.

  • Secondary label: a backup role. Used only as a last resort, if no primary profile is available.

⚠️ An employee with no label matching a shift's role will not be automatically assigned to that shift.


How do you edit an employee's labels?

Go to the employee's profile > Scheduling and access tab:

  • Click Edit in the "Scheduling and access" block.

  • (Optional) Select secondary establishments if the employee can be scheduled there.

  • If the employee is schedulable on a team, configure their smart scheduling labels:

    • If they have no labels yet: click Add labels.

    • If they already have some: click the pencil icon on the right to edit them.

  • Drag labels into the Primary or Secondary blocks, then click Confirm.

    • The primary label corresponds to what the employee does regularly. The engine prioritises them for shifts carrying this label.

    • The secondary label corresponds to what the employee can do as backup or occasionally. The engine uses it if necessary, but with a negative preference — it will try to avoid it unless it is the best available compromise.

  • Click Save changes to save all modifications in the block.

  • An employee must be schedulable on a team to configure their smart scheduling labels.

  • The order of labels within the same block does not matter: a label in the first position in the Primary block is not favoured over the second one.


FAQ

Can an employee have multiple primary labels?

Yes. An employee can have several primary labels, each corresponding to a different role.

What happens if an employee has no labels?

The predictive scheduling engine will not assign them to any shift automatically. They must have at least one label assigned.

Is deleting a label retroactive?

No. Deleting a label does not affect already-scheduled shifts. It only applies to future automatic assignments.

Are labels configured per establishment or globally?

Labels are configured per establishment and per team, from the employee profile.
