How to manage the contracts of my foreign employees ?

You have just hired a foreign employee ? Find out how to complete their profile and their working visa !

Create your employee's profile and fill in their personal details

From the Team tab :

  • Click on + Add an employee.

  • Fill in at least your employee's first name and surname.

  • Add your employee's email address, telephone number, type of contract, contract start date and time, weekly working hours and location.

  • Save your profile.

Once the profile has been created, fill in the other personal and contractual details in your employee's profile. From the Preview tab, complete their personal information in the "Civil status" tab, tick "Foreign worker with work permit".


Complete the work permit details

When you tick "Foreign worker with work authorization", you will have several types of document to choose from. We explain the different types and what they require !

For the following types of document, only the document number and expiry date are required:

  • Temporary residence authorization

  • Temporary residence permit for young graduates

  • Long term residency card-EU

  • Residence permit : Skilled worker (Compétences et talents)

  • Residence permit : Job search or business creation (Recherche d'emploi ou création d'entreprise)

  • Residence permit : ICT employee (Salarié détaché ICT)

  • Receipt bearing the words "Authorizes the holder to work" (Autorise son titulaire à travailler)

  • Posted employee working for a European service provider

  • Working holiday visa

  • VLS-TS* or temporary residency card : Family

  • VLS-TS* or "Student" residence permit

Good to know :

  • For apprenticeship contracts, if your employee works more than 964 hours over the year, you will need to enter the date of the work permit or the date of the application.

  • If you have not yet received authorization, tick "Authorization has not yet been received" to enter the date of the request. You will be able to update it once the authorization has been received.

For the following types, if the document was issued for a position other than the current one, you will also need to enter the date of authorization or application for authorization :

  • "Seasonal worker" residence permit

  • VLS-TS* or "Worker" residency permit

  • VSL-TS* or "Temporary worker" residence permit

For the following types, the date of authorization or application for authorization must always be entered :

  • Residence permit : Algerian student

  • Schengen short stay visa
